How To Plan the Perfect Travel Itinerary for Your Boss!


 
If you work as a secretary or an administrative assistant you will know how annoying it can get just before your boss is getting ready for that business trip of his. You know how tiring it can get when he keeps asking you questions like “When do I have to be there?”, “What time do I have to be there?” “What's the guy's name I'll be meeting at the airport?” etc., etc. You can avoid this however if you sit down and make him a business travel itinerary that has all the answers to all of the questions he wants answered.

Before you create the itinerary make sure that you sit down with your boss and try discussing the plans with him. You will need to find out from him where he is going to travel to and if he is going to be staying overnight anywhere. Make sure that you find out who he will be having the meeting or meetings with and what time the meetings are said to start. With this information you can then go a head and book his flight, reserve him a room at the hotel of his choice.

Once you have done all of this make sure that you open up your Word program and then begin recording all of the information that your boss is going to need to have with him. Your headings should include who is doing the traveling, the dates they will be traveling and where they will be traveling to.

Next you will start the actual itinerary by starting with the very first day of the business trip. Under that first day you should list the transportation the boss will use to get to the airport when leaving for the trip. Make sure you list the times that the service will be available for him to pick up. The next part of the itinerary should contain the information for his flight which should include the name of the airline, the airport, the time of departure, where it will land and what time it should arrive at it's destination. Include the seat number if one is assigned and if there are any layovers or changing of planes during the flight. If there is going to be someone meeting the boss at his destination make sure to include that if not make sure all the information for his transportation to get to his hotel is also included in the first day.

Now you should list the name of the hotel under the first day, make sure you include the address as well as the phone number and confirmation number of the reservation for his room.

Under the rest of the days you have listed for his time gone make sure that you list all of the different meetings he wants to attend and list them under the appropriate days they are taking place on making sure to include the start times and the business name, address and their main number and contact name in case he needs to use this information for anything. Make sure that you include the title of the meeting as well and if there is an agenda make sure that this is given to him as well. Continue doing this until everything that is scheduled is on the itinerary.

Take a folder and place the itinerary, agendas, receipts, tickets and directions needed into this folder. It's a good idea if the cover of the folder has a see through cover that you can put the itinerary in so your boss can see it immediately. You might also want to try to find a folder that is sealed on two sides so that things won't slip out.

Warning though, your boss might think you are such a marvel that he might end up having you do this for everyone!  


How To Turn Your Next Business Trip Into a Vacation!


 
If you travel a lot because of your business you know just how often you can begin to dread the thought of having to travel in that plane over and over again. Dealing with all the hassles at the airports, dealing with jet lag, dealing with being away from your family and friends so often. All of these things can simply make the though of a business trip one of sheer drudgery. But, you can change that. You can look at it in a totally different light if you set your mind to it.

Since you are on a business trip a lot of the normal stress of planning for a trip is eliminated because generally it's your company that's going to take care of the airfare as well as where you will be staying. So this can give you plenty of time to decide what kind of pleasure that you can add to mix in with the dull drums of the routine of the business trip.

Of course you are going to know where your company is sending you on your business trip so why not take some time out before you go to do some research about the place you will be visiting. Check out what kind of neat attractions they might have or find out what is considered some of the good night spots there might be close by where you are staying. You can also figure out what good restaurants you can go to while on your trip so that you aren't just limited to what's offered at the hotel.

See if you can't include a couple of extra days on the trip, try to make those days at the end of the whatever business you are involved with during the trip. This means even if you end up having to pay for the room. This way you are giving yourself a little reward and at the same time you might have a little time to relax before returning home.

You should also find out what kind of room your company has booked you for. If you discover that it doesn't have everything that fits your needs it shouldn't be too hard to call the hotel up and see if they can't give you a room that offers more of what you want. Even the smallest detail can help make your stay a lot more pleasant.

If the weather is good during your trip, don't spend all of your time in the hotel room, even if you have some work that needs to be done, take that work with you outside so you can enjoy the great weather instead of being locked up with your work inside the hotel.

Consider getting together with the client or other business people who might be there and try experiencing something fun to do together to take the edge off the stress of doing nothing but business together. For example if the city you are in has a sports team of any kind and they're playing while you are there try and get tickets for a group and go out and enjoy the game together.

Try bringing some comfortable casual clothes, your camera and take some time being a tourist when there is a lull in your work. Forget about the work, forget about the meeting just get out and mingle with the locals and have some simple freedom and fun.  


Travelling Tips - How to Have a Successful Business Trip


 
If you happen to have the type of job where you have to travel often then you probably appreciate it if when you travel in a car or on a plane, that your trip goes smoothly so that you can focus on the business at hand once you get there. If you follow the tips listed here you may be able to make your business trip a lot more tolerable.

One of the things you should always do is make sure that if you are traveling by plane that you have your seats pre-booked and make sure that you print out and keep your booking information, especially if you happen to book online.

When you first check in try asking for a certain seat where you might feel more comfortable. If you have travel often then you should know that there can be differences in the seats in business class and first class and make sure you see if you can't get what fits you best.

Make sure that you are aware of any rules and regulations there might be about bringing equipment that can set up telecom services like a VPN device. You don't want to find out after you have boarded the plane that these are not allowed to be used.

It is never a good idea to put your laptop with your other luggage in the hold section. Even if you don't plan on using it while you are on the plane. The last thing you want is for your laptop and all of your important business documents to be lost.

Make sure that if you are going overseas that you have something large enough to hold all of your money, ID and passport yet small enough to carry with you at all times when you are on your business trip.

Buy yourself a small travel bag that is small enough to be a carry on yet big enough to hold your laptop, charger, your cell phone, a days worth of clothing in case that your luggage gets lost or stolen while on your trip.

You should also take your own Ethernet cable with you for your laptop, although it's true that most hotels have their own, there is no telling if the cable they provide is working. This is also especially important if the hotel doesn't offer WiFi.

You should also make sure that you have plenty of paper and pens with you. There's no telling when you might not have a chance at recharging your laptops battery or there may be no easy access to plugging in your computer so you should be ready to take old fashion notes.

Wherever you are going, whatever you are doing for your business trip it is vitally important that you are prepared for anything that you might run into that could jeopardize the entire trip.
